Replenishing Your Supply of Custom Coins

Whether you’re starting from scratch or reordering a set of coins, we try to make everything as quick and easy as possible for our customers. There’s a lot that goes into making a challenge coin, let alone a whole order of challenge coins. The process starts with creating artwork with our team, gradually makes its way through revisions, and finally is handed over to our production team and brought to life. What makes reordering a set of coins so fast is the fact that pretty much all of the prep work is already finished.

If you want to reorder a set of coins we made for you, all we need is your name, your original invoice number and the number of coins you need. You can find your invoice number in the original receipt we emailed to you after ordering the first set of coins.  It also helps our team locate your file if we have the date of your first order, but it’s okay if you are not sure.

You can send us all this information is a quick email or through a few minutes conversation over the phone. Once we have everything, our sales team will put together a quote for same day approval. Just double check that everything is correct and submit your reorder of coins. Reorders like this save both time and money compared to starting from scratch, and there are ways to reorder coins with subtle differences in the design if you want to change things up.

Changing Up the Design on Reorders

Even if you want to change a few things about your reorder of coins, our team will be happy to help make it happen. Just let us know what you want to see changed, and our art team will prepare a new proof based on your original design for you to review before purchasing the reorder. Changes in metal plating and color can breathe new life into a design and do not require a new mold. It’s almost like getting an all new set of coins without having to pay for the mold and set up again.

Take these coins as an example. The coins are made from the same mold, but the plating and coloring are completely different. If you are looking for a way to spice up your original design, this is definitely one of the best ways to go. While changing things like colorfill and metal plating is easy, more extensive changes will require our production team to machine a new mold. Some of our customers, for example, choose to redesign one side of a coin and keep the other side the same as it was on the first order. Since only one side is different, we only have to make one new mold.

This method is perfect for creating a challenge coin series because it adds a level of consistency to a set of coins, even as the design evolves over time. Some other things that require a new mold for reorders are changes in coin size, adding certain styles of custom edging or changes in the actual artwork. If you have some changes in mind but are not sure how they will affect your reorder, just let our sales team know and they will help figure out the best options for you.

What’s the Deal with Coin Molds?

We keep all of our customers’ coin molds stored at our production facility for two years after an order is placed. The reason we don’t keep them indefinitely is due to the physical storage space we have available; however, if you think you might reorder the same coins outside of that two-year window, just let our sales team know, and they will make sure we keep them for a longer period of time.

If you reorder within that two-year window, we will reset the clock on your coin molds and store them for another two years starting from the date of your reorder. This means that you never have to worry about mold and set up fees if you reorder a set of coins every year or two. Another option is for us to send the coin molds to you with the finished coins. While it doesn’t happen too often, there are a few customers here and there that request to keep them, and our production team is happy to package them up and send them out. For reorders, you just need to mail the molds back to our production team.

One thing to always keep in mind is that orders of 300 challenge coins or more get free mold and set up on the entire project. Even if the mold comes free with your first order, it’s important to consider whether or not you plan on reordering coins and what will happen to the mold. If a couple of years go by and you decide to reorder 100 more coins after the molds have been destroyed, we will have to charge at least a half mold fee for the reorder.

What to Know For a Reorder

Your original invoice number
  • Your invoice number, or order number, was included in the receipt emailed to you after your original order. If you can’t find your invoice number, that’s okay. We will just ask for a few other things to track down the original order.
The date of your last purchase
  • Especially when you can’t find an invoice number from your first purchase, having the date helps our sales team find the record. A general timeframe is fine if you don’t know the exact date, as well as a picture of the original proof or final coin if you have any available.
What you want to change about the design
  • Colors and metal plating are easy to mix and match without needing a new coin mold. If you want to change the size, edging or artwork of part of the coin, you will most likely need a new mold created. 

If you don’t need any changes for the reorder of coins, just send us the information we need to track down your file with the number of coins you need, and we will more than likely have a quote ready for your approval on the same day. We keep artwork on file forever, so even if you can’t find your invoice number and are unsure about when you ordered your last set of coins, we will find a way to track everything down with nothing but your name and a description of what the coins look like.
